Writing and approving a post
Every way of starting a post — a day on the Calendar, New post, New draft or Generate a draft in Studio — opens the same window, Compose a post.
Write the draft
- Give it a Title — what the post is, for the people who work on it.
- Write the Copy yourself, or describe the post under Ask the AI to write it. Anything already in Copy is used as source material.
- On the right, pick the Networks. Beacon writes a separate version for each, sized and toned for that network.
- Optionally set When, a Theme track, and the Documents the AI may read. Tick none and every document in the project marked available to the AI is used; tick some and only those are read.
- Press Write it with AI, or Create the draft to keep what you wrote.
Writing with AI uses AI credit, shown in your usage as Beacon — writing post variants.
Choosing the time
Times are entered and shown in your own timezone, set in My Profile → Settings. As you set one, the window says whether it clears the project’s quiet hours, minimum gap and daily cap, and names the rule if not. It still lets you create the draft: the rules are enforced when the post is scheduled. Use the best slot fills in the hour this project’s published posts have done best at on that weekday, and says why — or a default hour when there is not enough history yet.
Each network’s version
Open the draft with Edit in Studio to edit each network’s version side by side, with a live character count that includes any required disclaimer. The switch beside a network means “do not send to this one”: its copy stays on the post and comes back when you switch it on again.
Attach media under a network’s box picks from this project’s Data Management. Upload an image or video there and it appears here. A file the network does not accept is greyed out with the reason, and each network’s limit on attachments is enforced as you pick. Instagram and TikTok need an attachment.
What the AI reads, and the rules it follows
The AI reads the project’s Context and the Data Management documents marked available to the AI — whole documents, not just their first pages. The documents a draft drew on are recorded on the post. If nothing could be read, the draft is still written, from the brand voice alone, and is marked ungrounded. Settings → Sources shows what it reads.
Settings → Voice & rules holds the Brand voice, Banned phrases, Emoji and Hashtags rules. They are given to the AI when it writes and checked again before a post sends, so copy you edited afterwards is checked too. Settings → Disclaimers holds text added to posts automatically — on every post, or only on posts making financial claims, promotional posts or posts targeted at the EU. Only an owner or admin can drop a required disclaimer from a post, and that is recorded on the post.
Approvals
Submit for approval sends the draft into the project’s approval chain, set in Settings → Approval chain, where each stage has a label, how many approvals it needs, and the people who approve it — ticked from everyone who can open the project. Stages are worked in order; a stage passes when enough of its approvers have approved. A chain can also require a stage for a particular network — for example, every LinkedIn post past the brand lead. With no chain, submitting approves the post.
On a post waiting for you, choose Approve, Request changes or Reject. Request changes and Reject send the post back to draft with your note. Every decision stays on the post, and anyone can add a comment and Resolve it later.
