Thrive CRM

Your mailbox and the Inbox

Connect your own mailbox in My Profile → Email & calendar, and Thrive's Inbox shows your mail and lets you write and reply from Thrive.

Connecting

  1. Open My Profile → Email & calendar.
  2. Choose your provider — Gmail / Google Workspace, Outlook / Microsoft 365, iCloud Mail, Fastmail, Yahoo Mail or Zoho Mail — or Other (IMAP/SMTP) for any server on an encrypted port.
  3. For Gmail, press Sign in with Google, sign in as the mailbox you want and allow Thrive to read and send its mail. For the others, enter the mailbox address and its password — for most providers an app password; the page says where to make one.
  4. Choose how long to keep message text, tick the box confirming you may connect this mailbox, and press Connect.

Thrive tries the login before saving anything; if the server refuses, it shows what the server said. The mailbox can be any address you use for work — it does not have to be the one you sign in to the hub with. Your password is kept in a secure store and never shown again.

Gmail without Sign in with Google. If the page says Sign in with Google is not set up on this site, contact VeraGen support at hello@veragen.ai to have it switched on — it is not a setting in your account. Meanwhile, or if Google says the app is blocked, choose Use an app password instead. The app password must be made in the Google account of that mailbox, at myaccount.google.com/apppasswords, with 2-Step Verification on.

What Thrive brings in

Your mail from the last 30 days, then whatever is new every two minutes — or press Sync now. Mail with one of the account's contacts, at any of their addresses, or at a contact company's domain also goes on that record. Anyone else in a conversation has Add as contact & assign to me, which puts the mail already here on their new record. Mail involving someone marked do-not-contact is never brought in.

Your Inbox, and the text of every message, are yours alone — not a colleague's, and not an admin's. A contact's Activity shows the subject of an email with them to whoever can see the contact.

The Inbox

  • Folders — All, Received and Sent; Assigned to me and Unassigned, by who owns the contact; Archived, Spam and Trash.
  • Tick conversations to mark them read or unread, Archive them, Report spam, Delete them, or Move to Inbox. Undo appears for five seconds. These change only Thrive's copy; your own mailbox is not touched. Trash empties itself after 30 days.
  • Beside a conversation — the contact, their owner (Assign or Change), Email and Open.

Writing and replying

Open a conversation: the newest message is at the top and the reply box is beneath, addressed to whoever wrote last, with Cc / Bcc, Reply all and Discard. Each conversation keeps its own half-written reply. + Compose starts a new message; Email on a contact starts one to them.

  • Formatting — bold, lists, colour, links, images and more. Pasted text arrives plain.
  • Files — Attach a file (up to 10MB each, 25MB a message) or From Data Management.
  • ✨ Draft a reply, or ✨ Draft on a new message once an address is in To, writes a draft from the conversation or from your earlier mail with that person. Edit it before sending. It uses AI credit, shown in your usage as Thrive — drafting a reply in the inbox.
  • Inbox settings holds your Signature, added to everything you write from this mailbox. When you save a new one, every reply and message you have not started writing picks it up the next time you open it; one you have already started keeps exactly what you wrote. Opening a conversation takes you out of Inbox settings and back to the folder you came from.

Mail goes from your own mailbox, to up to 20 people, with a subject, and a copy is filed in your Sent folder. You can send at most 100 emails from Thrive in 24 hours.

Nothing is sent to someone marked Email opt-out or do-not-contact, whoever owns their record — not a new email, and not a reply in their own thread. Their record shows Opted out where Email would be. Untick Email opt-out only if they ask to hear from you again.
