Saving and exporting from Chat & Research

A document, spreadsheet or PDF that Chat & Research makes is not kept until you save it. Save puts it in the project's Data Management; Export downloads it to your computer. Both are at the top right of a Chat & Research tab, and are available once something has been made.

Save to Data Management

  1. Click Save.
  2. Pick a folder. The picker opens in the folder you last saved into in this project, in this browser (the top level the first time, or if that folder has since been deleted); for something already saved, it opens where that item is. Click ▸ beside a folder to open it; the line at the top shows the full path of your choice. + New folder in makes a folder inside the one selected.
  3. Check the Name.
  4. Under Save as, choose a format, then click Save.

The tab then shows where it is saved. Anyone who can open the project can save into it.

Hub pageA page in Data Management that your team can read and edit. The best choice for anything you will keep working on.
PDFA paged document: US Letter, the title and "Page 1 of 3" in the footer of every page, and a table's header row repeated at the top of every page it continues onto. It is exactly the PDF shown on the right of the tab. Its typeface covers English and other Latin-alphabet languages, Greek and Cyrillic; Chinese, Japanese and Korean text and emoji cannot be shown in a PDF, and you are told when that happens (see below).
Word (.docx)Opens in Word, Pages or Google Docs with real headings, lists, tables and links, and page numbers in the footer.
MarkdownPlain text with Markdown formatting (.md); tables are written as Markdown tables.
Plain textReadable text with no formatting (.txt); tables are lined up in columns.
Excel (.xlsx)The table as a spreadsheet. Numbers, amounts, percentages and dates are real values you can calculate with; the header row is bold and stays in view when you scroll.
CSVThe table as comma-separated values, for any program that reads data. A cell that starts with =, +, - or @ and is not a number begins with an apostrophe, so a spreadsheet program shows it as text instead of running it as a formula.
Web page (.html)One file that opens in any browser and prints cleanly.

A spreadsheet is saved as Excel unless you choose otherwise, a PDF as PDF, and a document as a Hub page. Excel and CSV are made from a table, so they are offered only when there is one; from a document with several tables, the first one is used.

Save again, or keep a copy

After the first save, Save (or ⌘S / Ctrl+S) saves your latest changes into the same item, wherever it is now, and it gains a new version. If someone moved or renamed it in Data Management, it keeps that folder and that name. A file stays the format it was saved in, and is read for the AI as it was when first saved, even when its new name leaves off the extension (such as .pdf). If it was deleted in Data Management, Save asks where to save it again: the folder picker opens, and the tab is then saved as the new item. Save ▾ has Save as…, which saves a separate copy in another folder, under another name or in another format, and a list of formats to save a copy as. Once the tab is saved, Save ▾ → Open in Data Management (also in the tab's ⋯ menu) opens the saved item in a new browser tab.

What happens to a saved file

A saved file is part of the project like any upload. PDF, Word and Excel files are read and indexed for the AI, usually within a minute; Markdown, text, CSV and web pages are readable at once. A saved CSV or Excel file is a dataset, so it can be charted in Data Visualizations. Saved files count toward the account's storage allowance.

A file saved from Chat & Research keeps the document it was made from. In Data Management, Ask about this in Chat & Research on that file reopens it as its Chat & Research tab, in any browser, so you can ask for changes and Save them into the same file.

Export to your computer

Click Export and choose a format. The file downloads; nothing is added to Data Management. Each download link works for 5 minutes: if the download does not start, export it again.

The file is named after the tab. Once a tab is saved as a file, it takes that file's name; exporting it in another format replaces the extension, so a tab saved as Pipeline.xlsx and exported as PDF downloads as Pipeline.pdf.

Where things are edited

A Hub page is edited in Data Management, not in Chat & Research. To work from a page with the AI, open it in Data Management and choose Ask about this in Chat & Research from its ⋮ menu: a new Chat & Research tab opens with that item as its source. If the item is not available to the AI, a copy of it goes with every question you ask in that tab. Pages

Save in a Chat & Research tab replaces the page only if nobody has changed it in Data Management since the tab saved it. If someone has, the tab says so — also when you reopen it — and Save offers Save as a new page, with Open in Data Management to see the page as it is now. Your work in the tab is never lost, and neither is theirs.

If something goes wrong

Excel and CSV are made from a table, and this has noneChoose another format, or ask for the content as a table first.
Rows … do not have the same number of cells as the header rowThose rows have a cell too many or too few, so their values would land in the wrong columns, and nothing was saved. The rows are marked on the spreadsheet. Ask Chat & Research to fix the table's columns, then save again. A document's table is checked the same way when you save it as Excel or CSV.
Row … holds HTML table code instead of valuesThe spreadsheet's cells hold the code of a table rather than its values, so nothing was saved. Reload the page, then ask Chat & Research for the table again.
There is no table in this to put in a spreadsheet.Excel and CSV need a table. Ask Chat & Research for the data as a table, or choose another format.
That table has more than 5,000 rows — save it as Excel or CSV instead.A PDF of a table that long would run to hundreds of pages. Excel and CSV hold up to 100,000 rows.
That item is a Hub page. Use Save as to keep a copy in another format.Save keeps an item in the format it was saved in. Save as… makes a copy in the new format.
This account has used … of its … GB.The file would take the account over its storage allowance. Delete something in Data Management, or ask your account owner or an admin to raise it.
Some characters in this PDF could not be shown, such as Chinese, Japanese or Korean text and emoji.The PDF is still saved or downloaded, and this message appears on screen, but those characters appear as "?" or are left out. Word, Markdown, Plain text and Web page keep them, so choose one of those for text in other scripts.
That is too large for a Hub page. Save it as a file instead: PDF, Word, Excel or CSV.A Hub page holds up to about 900 KB of text. Longer documents and big tables belong in a file.
Too many downloads in the last minute. Wait a moment, then try again.An account can export up to 30 files a minute.

"…" is no longer in Data Management. Choose where to save it again.The item this tab was saved as has been deleted in Data Management. The folder picker is open: choose a folder and click Save to save the tab's work as a new item. Later saves go into the new item.
The pages could not be shown just now. Save or Export still makes the PDF.The PDF's pages could not be drawn on the right, usually because the connection dropped. The text stays on screen, and Save and Export make the PDF as usual. Ask for a small change, or reload the page, to try again.
This PDF is too large to show here. Save or Export still makes the file.A PDF of more than about 4 MB is not shown on the right. Save and Export still make it.
A picture appears in full in a document only when you gave Chat & Research its exact web address yourself, in that tab. Any other picture the AI puts in, such as one from a web page it read, appears as a link to the picture, so opening the document never makes your browser contact another website by itself. In PDF and Word files, every picture is a link.
