Documents from Data Management

An item can link to the documents in the project's Data Management: a spec, a design, a contract, a spreadsheet. A linked document shows on the item, and the item shows on the document, so either side can find the other.

Type / in a description or comment

In an item's description or in a comment, type / at the start of a word. A small menu opens:

Data Management documentLink a document from this project. Typing /data (or /doc) goes straight to the documents.
Work itemLink another item in the project, such as WR-12. Click it to open that item.
ImageAdd an image to the text, the same as + Image.
Mention someoneThe same as typing @.

Use ↑ and ↓ to choose, then Enter, or click; Esc closes the menu. A / in the middle of a word or a web address does not open it.

The document list shows the project's documents, the ones you starred and opened most recently first. Type to find one by name. If the name does not help, click Search inside documents to search the words inside them and see the passage that matched.

The document appears in the text as a chip with its name. Click it to open the document in Data Management, in a new tab. Point at it to see its folder and version, and the first lines of a page.

A chip stays current

  • Rename the document in Data Management, and every chip shows the new name.
  • Archive it, and its chips are struck through and say Archived. Restore it, and they come back.

The Documents section

Under the description, Documents lists every document the item links to: from its description, from a comment, or linked here. Each one shows its folder, when it last changed and its version, with Open.

  • + Link a document links one without writing anything.
  • Unlink removes a document linked here. A document linked from the description or a comment stays linked until its chip is deleted from the text.
  • A count of linked documents (📄) shows on the item's row in the backlog and on its card on the board.

An item can link up to 50 documents. Only documents in this project's Data Management can be linked.

When a linked document gets a new version, the item's Activity says so, for example "Checkout spec was updated to v8 in Data Management". Nobody is emailed about it.

Images from Data Management

Under Images:

  • From Data Management shows an image that is already in the project, instead of uploading it again. It is the same image, so when someone updates it in Data Management, the item shows the new one. × takes it off the item; it stays in Data Management.
  • Save to Data Management, on each image in the item, files a copy in Data Management, in the folder Skunk Works / WR-12 (the item's key). Saving the same image again opens the copy already there.

Save an item as a page

Save as a page, in the Documents section, makes a Data Management page from the item: its title, its description and its images. The page is in the Skunk Works folder, starts with a link back to the item, and is linked to the item. If the item already has a page, it opens that page.

@ mentions

Type @ in a description or comment, then choose a person. Only people who can open the project are listed. They are emailed that you mentioned them, with a link to the item; the email does not include what you wrote. If they were mentioned in the description already, saving the description again does not email them again. See Skunk Works emails.

In Data Management

A document's Linked work items lists every item in this project that links to it, with its key, title, status, sprint and assignee. Click one to open it in Skunk Works. For a file, it is under the file's title; for a page, it is in Page info, and the line under the page's title says how many work items link to it.

+ Create a work item there creates a task, already linked to the document. It goes to the bottom of the backlog.

Archiving a document that open items link to asks you first, and says how many. You can still archive it; the items' chips then say Archived.
