Email templates
AI Automations → Email templates holds emails you write once and send from any automation in the project.
- Click New template.
- Give it a Name (only your team sees it), a Subject and a Message. Click a merge field under the message, such as
{{contact.first_name}}, to put it where the cursor is. Web addresses in the message become links. - Click Create template.
A template whose subject or message names a field that does not exist is not saved, and the field is named. {{trigger.…}} fields are checked in each automation that uses the template, against what starts that automation.
In the builder, add Send email from a template, choose the Template and keep To as {{contact.email}}. Changing a template changes the next emails of every automation that sends it; the template's panel lists them. A template that a published automation sends cannot be deleted until those steps are changed.
Anyone who can build drafts in the project can create and change templates (see Who can do what in Automation settings).
What happened to each email
In Run history, an email step shows what happened to its email: Delivered, Opened, Clicked (with how many times), Replied, Bounced with the reason, or Marked as spam.

| Replies | Seen when the contact's owner has connected their mailbox in Thrive CRM (My Profile), and replies go to that owner (Replies go to: the person who owns the contact). A reply also starts automations whose trigger is Email reply received, and ends a Wait for a reply step. |
| Bounces and spam complaints | An address that bounces for good (it does not exist) or marks an email as spam is put on the account's do-not-email list. No automation emails it again; the step shows it was skipped and why. A temporary failure, such as a full mailbox, is shown but does not stop later emails. |
Wait for an email event
The Wait for an email event step waits until the contact opens an email this automation sent them, clicks a link in it, or replies to it, or until Stop waiting after runs out.
- Choose Wait until they: Open it, Click a link in it or Reply to it. A click also counts as an open.
- Under Which email, choose one of the automation's email steps, or leave it empty for the last email the automation sent the contact.
- Set Stop waiting after.
- Add an If / Else after it with a condition on Email (for example The last email was opened is
yes) to take one path when it happened and another when it did not.
If it already happened before the wait began, the automation carries on at once.
Your own sending domain
Owners and admins set it up in AI Automations → Settings → Your sending domain. It is for the whole account.
- Enter the From address (the part before the @, such as
sales) and the domain, then click Add domain. A subdomain such asmail.yourcompany.comkeeps automated mail apart from your everyday mail. - Copy the three records shown (SPF, DKIM and a tracking CNAME) into the DNS settings where your domain is managed. Some DNS providers add your domain to the name for you; if yours does, enter only the part before your domain.
- Click Check DNS records. DNS changes can take up to 48 hours to be seen; until every record is Found, the domain shows Waiting for DNS, and email keeps going from VeraGen's address.
- When it shows Verified, each project whose Send from is Your own domain, once verified sends from your address. Adding the domain sets this for the project you added it from.
Change next to Sends from changes the part before the @. Remove domain goes back to VeraGen's sending address straight away. Public mailbox domains such as gmail.com cannot be used, and a domain can belong to only one VeraGen account.
